Payment & Refund Policy
Payment Policy:
1. Payment Methods & Convenience Fee

We partner with third-party payment gateways (credit/debit cards, net banking, wallets) to simplify the booking process.

At checkout, the total amount displayed includes:

The event fee

A convenience fee levied by the payment gateway

The convenience fee is non-negotiable and must be paid in full by the client.
2. Manual Payments (UPI/NEFT)
-
clients may opt to pay via UPI or NEFT directly to our current account, where no convenience fee applies.

Once an order is placed, manual payment must be completed within 1 hour, or the order will be automatically cancelled.

After completing the transfer, send the transaction reference (UPI ID or bank reference number) via email or WhatsApp within 24 hours for verification.

Registrations are confirmed only after we validate the payment proof.
3. Advance & Balance Payments
3.1 Standard Public Events

Full payment of the event fee is required at the time of booking.
3.2 Corporate & Customized Treks
-
We issue a pro forma invoice once the event and dates are finalized.
-
An advance payment—specified on the invoice—is due immediately upon confirmation.
-
The remaining balance must be paid in full at least 3 days before the event start date.
-
Failure to pay the advance or the balance by the deadlines may result in automatic cancellation and forfeiture of amounts already paid.
4. Registration Confirmation

For online gateway payments, confirmation is instant once the transaction clears.

For UPI/NEFT payments, confirmation follows successful verification of your transaction reference.
5. Service Opt-Out

If you decide not to use any of the services included in your event fee, such as travel, equipment rental, guided activities, meals, or entry to ticketed visits, please note that no discounts or fee reductions will be provided.
6. Late Payments & Forfeiture

If the advance or balance payment deadlines for corporate/customized events are missed, your booking may be cancelled automatically.

Any amounts already paid in such cases are forfeited.

Refund Policy
Refund Medium

Refunds will be processed using the same payment channel originally used at the time of booking—such as credit/debit cards, net banking, or UPI/NEFT.

Refunds exclude any convenience fees charged by third-party payment gateways. This fee remains the responsibility of the participant and will not be refunded under any circumstance.
UPI/NEFT Refunds

For UPI/NEFT transactions, Ramblers India will require the following details from the participant to initiate the refund:

UPI ID or phone number linked to your UPI account

Or, bank account details (account number, IFSC, account holder name)

Refunds via UPI will be initiated manually by a Ramblers India team member during operational hours.
Our refund process is managed manually by our team.

Since our team is typically engaged in field activities during weekends, refunds are initiated only on Mondays.

Participants requesting a refund between Friday evening and Sunday will have their request processed the following Monday as our team is typically engaged in outdoor operations.

Please allow 3–10 working days from the initiation date for the refund to reflect in your account.
Cash Refund Exclusion

Ramblers India does not issue refunds in cash under any circumstances.

All approved refunds are processed digitally via the original payment method or as event credit in the form of a coupon.

Coupons are non-transferable, cannot be redeemed for cash, and must be used before expiry.

Coupon value will match the agreeable event fee (excluding convenience fee).
Exclusion of Convenience Fee

Payments made through third-party gateways (such as credit/debit cards, net banking, wallets) include a non-refundable convenience fee.

All refunds strictly exclude this convenience fee, which is borne by the participant regardless of cancellation reason or refund eligibility.

For UPI/NEFT transactions to our current account, no convenience fee is charged.

If Ramblers India cancels an event due to low participant count, safety concerns, regulatory restrictions, or any other unforeseen circumstances:

Participants will receive a full refund of the event fee paid.

However, any convenience fee charged by third-party payment gateways is non-refundable, and must be borne by the participant.

Refunds will be initiated on the next operational weekday (typically Monday) and processed within 3–10 working days via the original payment method.

Event-Specific Refund Policy

Every Ramblers India event comes with a detailed refund policy that may differ based on event type, duration, location, and logistical considerations.

We encourage all participants to carefully review the refund policy displayed on the specific event page before booking.

The refund policy outlines applicable percentages, cancellation deadlines, and any non-refundable components (such as convenience fees).
Refund terms for one event do not automatically apply to others. Always refer to the exact policy relevant to your selected event.
Cancellation Policy
For all open-listed events hosted on the Ramblers India website, the refund policy as stated in the event listing shall govern participant cancellations. No separate cancellation policy will apply beyond the terms explicitly outlined therein.
Corporate clients or Private Groups who cancel their registration are eligible for a refund of the event fee only (convenience fees excluded), based on the following schedule:

​2. Ramblers India-Initiated Cancellations

If we cancel an event for safety, regulatory, or operational reasons, you may choose:

Full refund of the event fee (excluding convenience fees), or

Transfer to an alternate date within 12 months.

We will notify you at the earliest and process any refunds within 3–10 working days.
3. No-Show Policy
Participants who do not arrive at the reporting point without prior cancellation are ineligible for any refund.
4. Force Majeure
Neither party is liable for failure to perform due to events beyond reasonable control (natural disasters, strikes, government directives, pandemics). Affected bookings may be rescheduled or refunded pro rata.

Upon acceptance, we’ll acknowledge your request and, if eligible, initiate the refund.

6. Special Considerations

Advance payments for corporate/customized treks are non-refundable if cancellation is due to non-payment of balance.

No group or volume discounts are applied to cancellation calculations.

Opting out of included services (equipment, meals, guides) has no bearing on cancellation refunds.
