Ltd. (“Ramblersindia,” "Ramblers India", “we,” “us,” or “our”). By accessing the Site or registering for a Service, you agree to be bound by these Terms. If you do not agree with any part of these Terms, please do not use the Site or Services.

1. Definitions

You acknowledge that you are capable of participating in strenuous outdoor activities such as trekking, hiking, and adventure travel.

If you have any medical conditions, you must consult your doctor before registering.

You agree to follow all instructions and safety guidelines provided by our team, guides, and staff.

Failure to comply may result in removal from the event without refund.

Personal Responsibility:

Any false declaration of eligibility or health status may lead to cancellation of your booking without refund.

3. 1 Inquiries & Communication

Official Channels Only: All inquiries must be made through our Official Contact Channels. Direct communication with individual team members is not considered official.

Respectful Language: All communication via WhatsApp or phone calls or social media channels must be conducted in a polite and respectful manner.

Prohibited Conduct:

Use of abusive, offensive, threatening, or discriminatory language is strictly prohibited.

Harassment, intimidation, or disrespect towards our team or other participants will not be tolerated.

Invalid Communication: Any communication that violates these standards will be considered invalid and may result in refusal of service.

Record Keeping: For transparency, we reserve the right to document and review communications to ensure compliance with these terms.

Consequences: May lead to cancellation of bookings without refund and denial of participation in future events & also report to other registered organizations, which may result in the participant being blacklisted.
3.2 Bookings & Registration

A Booking is confirmed when:

You complete your booking on our website, or
-
For manual payments, the full payment is received, and

You receive an official confirmation email from us.

Bookings are non-transferable unless Ramblersindia provides written consent.
4. Payment Terms

All fees are quoted in Indian Rupees (INR) and include applicable taxes unless stated otherwise.

Payments must be made via the methods listed on our Site.

We reserve the right to refuse or cancel any Booking for payment issues or suspected fraud.
5. Cancellation & Refund Policy
If Ramblersindia cancels or reschedules due to weather, safety, or force majeure, you may choose a full refund excluding convenience fee or credit toward a future event.
6. Participant Conduct

Punctuality & Preparedness:

Arrive on time at the designated meeting point.

Carry all required gear, valid ID, and documents as instructed.

Compliance with Instructions:

Follow all trek leader and guide instructions, including safety briefings and route guidelines.

Ignoring instructions may result in removal from the event without refund.

Respect & Responsibility:

Treat fellow participants, local communities, and staff with courtesy.
-
Show respect towards wildlife and the environment; practice Leave No Trace principles.

Prohibited Behavior:
-
Consumption of alcohol or drugs during the event is strictly forbidden.
-
Harassment, discrimination, or offensive behavior of any kind will not be tolerated.

Any violation will result in immediate removal without refund.
-

Consequences:

Misconduct may lead to cancellation of bookings without refund.
-
Participants may be denied entry to future events.
-
Serious violations may be reported to the relevant Authorities, which could lead to criminal or civil proceedings under applicable law..

7. Health, Fitness & Assumption of Risk

Inherent Risks: Adventure activities involve inherent risks, including but not limited to property damage, personal injury, or even death. By registering, you acknowledge these risks.

Voluntary Assumption: You voluntarily assume all risks associated with participation, including those arising from natural terrain, weather conditions, transportation, and group dynamics.

Health Declaration:

You confirm that you are in good physical and mental health and capable of strenuous outdoor activities.

You must disclose any medical conditions, allergies, or physical limitations prior to participation.

Failure to disclose relevant information may result in removal from the event at your own expense.

Medical Responsibility:

You are responsible for carrying necessary medication and informing our team of any emergency requirements.

In case of medical emergencies, evacuation and treatment costs will be borne by the participant.

No Liability: Ramblers India, the team and guides are not liable for any injury, loss, or damage arising from participation, except where required by law.
8. Insurance

Participants must obtain comprehensive travel and medical evacuation insurance covering high‑altitude risks, adventure activities, trip cancellation, and baggage loss.

Insurance is not included for all events; when it is, we will clearly indicate it.
-
We always recommend individuals to have their own insurance for peace of mind.
-
For corporate and customized groups, insurance is highly recommended and can be arranged upon agreement.
-
Optional Add‑On: We can also provide insurance if you opt for it, but the booking must be completed at least 2 days prior to the event.

Your safety and peace of mind remain our priority.
9. Liability Limitation & Indemnification

Limitation of Liability: To the fullest extent permitted by law, Ramblers India and its affiliates, guides, and agents shall not be liable for any direct, indirect, incidental, special, punitive, or consequential damages arising from:

14. Force Majeure

Definition: Ramblers India shall not be held liable for delays, interruptions, or failures in performance caused by events beyond our reasonable control, including but not limited to natural disasters, strikes, labor disputes, war, government actions, pandemics, epidemics, civil unrest, transportation disruptions, or other Force Majeure events.

Service Impact: In such circumstances, we reserve the right to cancel, postpone, or modify services to ensure participant safety and compliance with regulations.

Refunds & Credits:

Refunds or credits will be offered based on recoverable costs after deducting non‑refundable expenses already incurred.

16. Governing Law & Dispute Resolution

Cancellation: The scheduled event may be cancelled. In such cases, a full refund will be initiated for all registered participants.

Delegation: The event may be delegated to a qualified local guide or a trusted partner organization to ensure continuity of service.

Transfer of Booking to Third Parties If a booking is transferred to another organization:

Ramblers India policies—including but not limited to payment terms, cancellation rules, and participant protections—shall cease to apply.

The policies of the receiving organization shall govern the participant’s experience from the point of transfer.

Participants are strongly advised to review the terms and conditions of the receiving organization.

Ramblers India Commitments In all emergency situations, Ramblers India commits to:

Communicating promptly and transparently about contingency measures.

Addressing reasonable participant concerns or facilitating alternative arrangements when feasible.

19. Events Managed by DMC Partners

Event Operations

Certain events may be operated by Ramblers India’s Destination Management Company (DMC) partners.

Local partners will oversee on‑ground logistics, safety, and participant coordination.

Group Consolidation
-
Participants from different groups may be combined based on registration numbers.
-
This ensures cost‑effective operations while maintaining the quality of the experience.

Policies in Effect
-
All tour policies set by the DMC partner will apply during these events.

Ramblers India will not be responsible for any changes or updates made by the partner to their policies.
-

Liability & Responsibility

Ramblers India acts as a facilitator and is not liable for operational decisions, cancellations, or modifications made by the DMC partner.

Any disputes or claims must be addressed directly with the DMC partner managing the event.

Participant Agreement

By registering for such events, participants acknowledge and accept that the event will be conducted under the DMC partner’s terms and conditions.

Participants agree to comply with all safety instructions, local regulations, and operational guidelines provided by the partner.

Cancellations & Refunds

Cancellation, refund, and rescheduling policies will follow the DMC partner’s framework.

Ramblers India will assist in communication but does not guarantee refunds beyond what the partner offers.

Force Majeure

Events may be postponed, altered, or cancelled due to unforeseen circumstances (e.g., weather, government regulations, natural disasters).

In such cases, the DMC partner’s policies will determine the next course of action.

20. Pricing & Cost Structure

Event participation fees quoted on the website/ Invoice represent a consolidated amount covering the overall experience.

Ramblers India does not disclose a detailed cost breakup of individual services or internal components (such as guide charges, permits, gear, transport, logistics, etc.).

This pricing policy enables Ramblers India to maintain operational flexibility, optimize cost‑efficiency across dynamic terrains, and ensure consistent quality for participants.

It also allows adaptation to unforeseen factors such as seasonal fluctuations, local vendor availability, and last‑minute safety upgrades without compromising participant experience.

21. Pricing Variation

Terms and Conditions for Corporate & Customized Outdoor Events
These Terms and Conditions (“Terms”) govern all corporate and custom outdoor events (“Events”) organized by Ramblers India (“we”, “us”, “our”). By signing the service agreement or making any payment, the contracting party (“Client”) and its participants (“Participants”) agree to these Terms.
1. Definitions

Client: Organization or individual contracting Ramblers India for an outdoor event.

Participants: Individuals registered by the Client to attend the outdoor event.

Service Agreement: Written contract detailing scope, schedule, fees, and these Terms.
2. Scope of Services
We provide the following services as part of corporate and customized outdoor events:

Itinerary Design & Logistics: Preparation of detailed itineraries, securing permits, handling logistics, and managing bookings.

Certified Guides & Safety: Deployment of certified guides, provision of first‑aid support, and delivery of safety briefings before and during the event.
-
Equipment Rental: Supply of tents, cooking gear, safety kits, and other equipment where specified in the Service Agreement.
-
Customization Options: Inclusion of customized branding, team‑building modules, subject‑matter experts, or professional photography services, as agreed.
-
Scope Limitation: Any service not explicitly specified in the Service Agreement is considered out of scope, unless added through a written amendment signed by both parties.
3. Booking & Payment

Booking Confirmation

We issue a pro forma invoice once the Event scope is finalized.

The Event slot is provisionally held on invoice generation.

Advance Payment
-
A non-refundable advance (typically 30% of total fee) is due within 5 business days of invoice date.

Balance Payment
-
Remaining balance (70%) must be paid in full at least 2 days before the Event start.
-
Failure to pay by the deadline entitles us to cancel the booking and retain the advance.

Payment Methods
-
Online gateways incur a convenience fee displayed at checkout (borne by the Client).
-
UPI/NEFT to our current account carries no convenience fee; transaction proof must be sent via email or WhatsApp within 24 hours.

4. Changes & Cancellation
4.1 Client-Initiated Cancellation

4.2 Ramblers India Cancellation

Right to Modify or Cancel: Ramblers India reserves the right to modify or cancel an Event in circumstances involving safety concerns, regulatory requirements, or force majeure events.

Client Options in Case of Cancellation:

Full Refund: Clients may opt for a full refund of Event fees (excluding any convenience fees).

Rescheduling: Alternatively, Clients may transfer their booking to an alternate date within 12 months of the original Event schedule.

4.3 Itinerary Adjustments

Minor Changes: Ramblers India reserves the right to make minor adjustments to routes, schedules, or activities due to weather conditions, trail status, or logistical requirements.

No Refunds: Such adjustments are considered a normal part of outdoor event operations and do not warrant refunds or compensation.

Participant Safety: All changes will be made with the primary objective of ensuring participant safety and maintaining the quality of the experience.
5. Participant Obligations

To ensure safety, smooth operations, and a quality experience, all Participants are required to:

Provide Accurate Information: Submit complete and accurate personal, medical, and dietary details prior to the Event.
-
Complete Documentation: Sign and return the waiver, health declaration, and code‑of‑conduct forms before departure.
-
Carry Required Gear: Bring all personal gear as specified in the checklist.
-
Follow Instructions: Adhere to all guide instructions during the Event. Any deviation from the group or disregard of instructions is undertaken at the Participant’s own risk.
6. Health, Safety & Risk

Fitness Confirmation: Participants confirm that they are physically fit and able to undertake the Event.
-
Medical Disclosure: Any pre‑existing medical conditions must be disclosed in writing prior to the Event. Participants must carry their own prescribed medications.

Safety Briefings: Guides will conduct daily safety briefings, and attendance is mandatory for all Participants.
-
Assumption of Risk: By joining the Event, Participants acknowledge and assume all inherent risks associated with outdoor activities, including but not limited to terrain challenges, weather variations, and wildlife encounters.
7. Insurance

Client Responsibility: The Client must arrange group travel, accident, and medical evacuation insurance covering all Participants for the duration of the Event.

Individual Coverage: Participants are strongly encouraged to carry individual insurance policies for personal protection.
-
Assistance: Ramblers India can assist the Client in securing suitable group insurance policies through trusted providers, if requested.
8. Liability & Indemnity

Release of Claims: To the fullest extent permitted by law, Clients and Participants release Ramblers India Outdoors (OPC) Pvt. Ltd., its affiliates, employees, and partners from any claims, demands, or liabilities for injury, loss, or damage arising from participation in the Event.

Indemnification: The Client agrees to indemnify and hold Ramblers India harmless against any third‑party claims, actions, or demands related to the Event, including but not limited to participant conduct, property damage, or regulatory issues.

Scope of Liability: Ramblers India’s liability is strictly limited to the services explicitly outlined in the Service Agreement, and does not extend to risks inherent in outdoor activities or circumstances beyond its reasonable control.
9. Conduct & Environment

Respect for Communities & Nature: Participants must respect local communities, wildlife, and the natural environment at all times.

Prohibited Activities: The following are strictly prohibited during the Event:

Consumption of alcohol or drugs
-
Littering or improper waste disposal
-
Vandalism of property or natural sites
-
Harassment of fellow participants, guides, or locals
-
-
Consequences of Misconduct:
-
Any misconduct may result in immediate expulsion from the Event without refund.
-
Serious violations (e.g., harassment, vandalism, illegal activity) may also lead to legal action under applicable laws, in addition to permanent disqualification from future participation.

10. Intellectual Property
-
Ownership: All itineraries, training materials, maps, photographs, videos, and other media created or provided by Ramblers India remain the intellectual property of Ramblers India Outdoors (OPC) Pvt. Ltd.

Client License: Clients are granted a non‑exclusive, limited license to use event media for internal communications or promotional purposes, provided that appropriate credit is given to Ramblers India.

Restrictions: Clients and Participants may not reproduce, distribute, or commercially exploit any materials without prior written consent from Ramblers India.
11. Privacy & Credentials

Data Processing: Ramblers India processes personal data (including contact details, medical information, and payment records) solely for the purpose of delivering Event services, in accordance with our official Privacy Policy.

Corporate Due Diligence: Upon written request, Ramblers India will share relevant company registration documents and safety certifications via email to support corporate due diligence requirements.

Confidential Handling: All personal and corporate information provided will be handled with strict confidentiality and will not be disclosed to third parties except where legally required or necessary for Event delivery.
12. Force Majeure

Scope: Neither Ramblers India nor the Client shall be held liable for delays, modifications, or failures in performance caused by events beyond reasonable control, including but not limited to natural disasters, strikes, government restrictions, pandemics, or other unforeseen emergencies.

Suspension of Obligations: Any obligations affected by such circumstances shall be suspended for the duration of the force majeure period.

Resumption: Once the force majeure event ceases, both parties shall resume their respective obligations in good faith, with reasonable adjustments to timelines and deliverables as necessary.

Legal Protection: If the force majeure event prevents fulfillment of the Event entirely, neither party shall be liable for damages, penalties, or legal claims arising from non‑performance.
13. Governing Law & Dispute Resolution

Applicable Law: These Terms & Conditions shall be governed by and construed in accordance with the laws of India.

Arbitration: Any dispute, controversy, or claim arising out of or relating to these Terms or the Event shall be resolved by arbitration in Mumbai, conducted under the provisions of the Arbitration and Conciliation Act, 1996.

Final & Binding Decision: The decision of the appointed arbitrator shall be final and binding on both parties.

Jurisdiction: Subject to the arbitration clause, the courts in Mumbai, Maharashtra shall have exclusive jurisdiction over any matters not resolved through arbitration.
14. Amendments

Right to Amend: Ramblers India reserves the right to amend or update these Terms & Conditions with 30 days’ written notice to the Client.

Notice Period: During this period, Clients may review the changes and raise any concerns in writing.

Implied Acceptance: Continued engagement of services after the notice period shall be deemed as acceptance of the updated Terms.

Documentation: All amendments will be communicated formally via email and shall form part of the binding agreement between Ramblers India and the Client.
15. Emergency Contingency

Critical Emergencies: In the event of a critical emergency resulting in the unavailability of a designated Ramblers India team member, Ramblers India reserves the right to take one of the following actions:

Cancellation: Cancel the scheduled Event and initiate a full refund process to the Client.

Delegation: Transfer Event execution to a qualified local guide or trusted organization. Once transferred to the organization, Ramblers India’s policies and liability provisions will no longer be applicable.

Communication: Any such decision will be communicated promptly to the Client via official channels, with documentation of the chosen course of action.
Ramblers India – Recruitment Terms & Conditions
1. Eligibility & Application

Applicants must be at least 18 years old and physically fit for outdoor activities.
-
Submission of an application does not guarantee selection or onboarding.
-

Active trek leaders are covered under Sports Cover Insurance during official events.

5. Confidentiality & Data Protection

Applicants agree to maintain confidentiality regarding internal operations, participant data, and event strategies.

6. Media & Consent

7. Freelance Engagement & Exclusivity

8. Termination & Restructuring
